    Hotel Accommodation*

    Hotel accommodation is applicable based on your participation status which you will find in your confirmation email.

    Fully Sponsored Agencies

    *only applicable for fully sponsored agencies located outside of Berlin.

    Fully sponsored agencies will be provided with a hotel room, for three nights from Sunday afternoon, November 01, 2026 until Wednesday morning, November 04, 2026 at one of our partner hotels.

    Your presence will be expected throughout the duration of the event.

    A formal hotel booking confirmation will be sent to you approximately four-six weeks prior to the event. will sponsor one room per agency, unless otherwise stated.

    IMPORTANT: If you require a visa to attend the event, we kindly ask you to keep us informed of your visa status. Your hotel booking can only be confirmed once you are eligible to travel. To help us avoid delays, please send us a copy of your visa or update us on your application status at visasupport@icef.com

    Terms & conditions:

    • Event cancellation: If, for some reason, you will be unable to attend, please let us know by Friday 18 September or you will be subject to a cancellation fee of 395 EUR. Cancellations made from Friday 23 October, will be subject to a cancellation fee of 895 EUR.
    • Event no-show: You will be subject to a cancellation fee of 895 EUR.
    • Early Departure: Should you need to leave the event earlier than November 03 at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
    • Hotel extra charges: All extra costs (i.e. mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.

    Upgrade to Event Venue

    If you wish to stay at the InterContinental Hotel, where the event is taking place, an upgrade fee is required of 319 EUR. For more information and to submit your request, please send us an email. All requests are subject to availability.

    Additional person(s): If you require an extra person to be accommodated in your room, you will be required to upgrade to the InterContinental Hotel where we can accommodate double/twin rooms.

    Semi-sponsored Agencies

    As a semi-sponsored participant, your accommodation will be organised by and you are required to pay a participation fee of 595 EUR (+VAT 19%). Once you have received your invoice, payment is due within 14 days. Your participation is not secure until payment has been received by .

    Terms & conditions:

    • Event cancellation: Please note that in the event of a cancellation your participation fee is non-refundable. If for some reason you are unable to attend Berlin 2026, please let us know byFriday 23 Octoberor you will be subject to a cancellation fee of 300 EUR.
    • Event no-show: You will be subject to a cancellation fee of 300 EUR.
    • Hotel extra charges: All extra costs (i.e. mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.

    Non-sponsored Agencies

    As a non-sponsored participant, you will be responsible for organising your own accommodation for the upcoming event. We have secured preferential rates at several of our partner hotels to assist you with your arrangements.

    Visa Requirements

    Germany is part of the borderless region known as the Schengen area and visa requirements vary by nationality. For most nationalities a visa is not needed for stays of up to three months. A passport validity of at least three months beyond the period of stay is mandatory and you are advised to retain evidence of your return travel. Please check regulations with your closest German embassy well ahead before travelling. To find out more about country-specific visa requirements, visit

    Discounted German Rail Tickets

    Deutsche Bahn is pleased to offer discounted event tickets if you travel to Berlin by train. The price for a one-way ticket from any German railway station to Berlin starts from 36 EUR.

    Tickets are subject to availability and need to be booked at least one day prior to your departure date. Please note that the event ticket is only valid for the connection you have selected and booked in advance.

    Suggested Airlines

    Air France and KLM are pleased to offer 10 % discounted airfares for attendees travelling to Berlin 2026. Preferential rates are available for eligible travel between 25 October and 10 November 2026, covering the event dates of 1–3 November 2026.

    How to claim your discount:
    1. Book via the official Air France or KLM website in your preferred currency.

    Good to know

    The discount will only be applied if the minimum airfare value (without taxes or surcharges) of the ticket is higher than €75 for domestic France, €140 for Europe, and €170 for intercontinental flights or the equivalent in the selected currency.

    Arrival in Berlin

    Berlin Brandenburg Airport (BER)
    The airport is situated 25 km from the city centre, which can be reached in approximately 45 minutes by taxi or public transport.

    • Public Transport: Regional trains (RE7 and RB14) regularly travel between Berlin Zoologischer Garten and Flughafen BER – Terminal 1-2 station; the journey takes 40 minutes. City train (S-Bahn) S9 leaves every 20 minutes from the Terminal 1 and 2 stations. The journey takes around one hour. Tickets cost approx €5
    • Taxis: A taxi ride from Berlin Brandenburg Airport to the Hotel InterContinental will take approximately 30-45 minutes and the fare is around €60–70. Passengers arriving at Terminals 1 and 2 can use the north and south taxi ranks in front of Terminal 1 on Level E0.
      Uber is also available at BER Airport, rates from and to the airport may differ depending on time and traffic. Please check the price estimator in your Uber app.

    Berlin Central Station (Berlin Hbf)
    Berlin´s main railway station is located in the city centre.

    • Public Transport: City trains (S-Bahn) S3, S5, S7 and S9 connect the main railway station to the stop Zoologischer Garten in only 6 minutes. From there you can either walk (approx. 10 minutes) or take bus service 200, in the direction of Michelangelo Strasse. After a few minutes the bus stops directly in front of the Hotel InterContinental, at Budapester Strasse. Tickets cost approximately €4 for zone AB.
    • Taxis: A taxi ride will take approximately 10 minutes and will cost around € 15-20.

    Getting the most out of an event
    On-site check-in

    You will be able to collect your badge and welcome bag from the registration kiosks Sponsored by on Sunday, November 01, from 10:00 to 21:00.

    Participants arriving after the above stated period can register on Monday, November 02, from 08:00 onwards.

    You will be sent a QR code in advance of the event to print your badge when you arrive.

    As this is an invitation only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason we cannot allow non-registered family, friends or staff to enter the meeting hall.
